Three client journeys
Starting Point
The firm was spending significant time on routine client communications — standard update emails, document request follow-ups, and appointment confirmations. Staff found these tasks low-value but necessary. They had looked at a couple of AI tools briefly but felt uncertain about choosing between them.
What We Did
After an Appraisal Session, we identified two areas worth addressing and one (document summarisation) that would need more investment than it was worth at their volume. We configured a drafting assistant for routine client communications, calibrated to the firm's tone, and ran a staff session to help everyone become comfortable with reviewing and sending AI-drafted messages.
Three Months On
Staff estimated around 90 minutes saved per week on communication drafting. The firm's principal noted that the tone of AI-drafted messages had required fewer corrections as staff became familiar with reviewing them. They have since moved to a retainer arrangement.
Starting Point
The consultancy was producing repetitive first-draft documents — job descriptions, candidate summaries, policy templates — that consumed time without requiring specialist knowledge. Previous attempts to use publicly available AI tools had produced output of inconsistent quality that needed heavy editing.
What We Did
We configured a drafting tool with custom prompts reflecting the firm's preferred language and structure for common document types. We tested iteratively with actual samples until output quality was consistently usable. The handover session focused on how staff could adjust and steer the tool rather than simply accepting its first response.
Six Weeks On
The team was producing first drafts in roughly a third of the time previously spent. More notable: staff reported that their editing attention was now on substance and nuance rather than basic structure and wording, which they found more professionally satisfying.
Starting Point
The firm had completed a Tailored Integration earlier in the year and was broadly satisfied. However, as the team's use of the tools matured, they noticed the original configuration was becoming less well-matched to how they were now working — particularly in one practice area that had grown significantly.
What We Did
Through the retainer, we picked up the drift in the quarterly review and proposed two adjustments. Both were made within the retainer scope. We also noticed the firm was not using one feature of the tool that would have been useful — we introduced it at the walkthrough, and it has since become part of daily use.
The Ongoing Picture
The principal notes that the retainer is essentially paying for the gap between initial setup and a tool that stays genuinely useful. Without the quarterly check-in, the drift might have continued unnoticed. The firm views the retainer as an ongoing working relationship rather than a maintenance contract.
